Mails downloading to a personal fol

I have joined a new organization and we have outlook setup using pop3. Now all my mails are downloaded to a personal folder instead of the server.Just wanted to know if it always download emails to a personal folder using pop3 or is there a way by which we can setit up to go to the server?

The forums rocks by the way

Email is always downloaded to a server. It must go to a mail server for you to be able to retrieve it via POP3. POP3 retrieves the Email form the server and puts it wherever Outlook is configured to put it.

It the difference between having the Postman deliver your mail to your house and collecting it from the Post Office. POP3 does the same job for Email as the Postman does for snail mail. That why it is called POP3. Post Office Protocol version 3.

Thanks for the info but i want to know is there any way that i can make sure it remains on the server?.In my office it doesnt give me an option for the server....it just allows me to save it to the PST? MY question is whther pop3 configured accounts allow you to store mail on the server or by default they come from the server to your hard drive?

Or has my organization configured it in such a way that the delivery location has to be a personal folder?

Which version of Outlook are you using? I assume it's Outlook (part of Microsoft Office) and not Outlook Express.

In Outlook 2003, when you set up your POP3 account, click "More Settings", then "Advanced" and check "Leave a copy of messages on the server."

klint is absolutely correct.

In fact, both Outlook and OE have had this option for as long as I can remember (and Alzheimer's has not taken over just yet... well, not completely).

parry, I think you were probably used to accessing mail through an Exchange Server. Is there some reason you have a problem using Outlook without that? Or is it that you don't want to store the mail locally? Perhaps use a network share?

A little clarification would be good.

Don't forget some POP3 servers also offer an IMAP service as an alternative. If that's the case, you may prefer to use IMAP. Unlike POP3, the emails stay on the server and are retrieved directly from the server when viewed.

Yes i was using micrsoft exchange server in my old office and kind of got used to it.Just beleive that they are safe on the server than somewhere local. You never know when your machine may go down.I guess i will have to start looking for a network drive or start backing it up regularly....

For IMAP i think i should convince my boss to go for it...i dont thk she will...lol.

I have that option checked for leave a copy on the server...so will try to get that webmail thing setup for me fast....

You can also download pfbackup from Microsoft and configure it to backup however you wish. A recommendation, move your pst file off of the OS partition. Don't run it from the default location.
