Solved Outlook: Send mail to all contacts.

December 18, 2012 at 00:43:45
Specs: Windows 7 Home Prem SP1 64bit
I need to send an email with a Word attachment to all my contacts list but cant find a way to do it. Adding names one by one to a distribution list is a problem with 650 names.
Best regards
Ian

Outlook can't do that without installing a third-party add-on. There's one here but it's not free - number 10 Mailing List Services from the MAPILab Toolbox:

Outlook can't send an email to your entire contact list directly, but it's not that hard to create a distribution list containing all of your contacts with what you probably already have on your system. No third party apps needed.

1 - Export your contacts to an Excel file through the File...Options...Advanced...Export wizard

2 - Clean up the spreadsheet if needed. If you only map the email addresses for export, it should be fairly easy clean up since you'll only have one column of data to scan through.

3 - Use the steps found here to create a Distribution list from that Excel spreadsheet:

Two more items:

If for some reason Outlook won't accept all 650 names in one distribution list, simply create more than one, with each one containing the max that Outlook will let you create.

AllContacts1, AllContacts2, etc.

Be sure to put the distribution list name(s) in the Bcc line, not the To line. Nobody likes to see 650 names in the To line when they get an email.
