We have a user that keeps getting a 'over the mailbox size limit' message. Our size restriction is 500 meg. But when I look at the user's mailbox size in the 'System Manager', it only shows around 380 meg. Why and how can this be different? It is getting frustrating for the user when it shows she is under the limit. Thank you.
I don't know anything about the System Manager utility, but as a user I check my mailbox size by right-clicking the Mailbox - (MyUserName) entry in the Folders List, and choosing Properties for Mailbox - (MyUserName). I then click the Folder Size... button and read the calculated total. Whenever I get the nasty-gram about being over the limit, the total for all folders is above our limit of 90000 KB.
Have you gone in that way to see if the numbers match?
Is the message a warning that the mailbox is about to reach the limit? or can the user not send out any e-mails without deleting or archiving? If the user can still send and receive e-mails fine but gets the message than it is probably is just a warning and you can change the warning level in Active Directory (under the user's Properties, Exchange General Tab, Storage Limits). We had similar issues, especially with Blackberry server and users not paying attention to admin messages about when mailbox is nearing full. I wrote a script that sends the helpdesk an email via a scheduled task on a nightly basis to help us be proactive with the users before it's too late.
