data disappearing from excel files

I read the post regarding excel overwriting, but I'm not sure that this addresses my problem. Two people are telling me that when they open an excel file, they get a window indicating this file already exist, do you want to overwrite it? They claim that whether or not they choose yes or no, the data just disappears, yet the problem is only intermittent. This is happening with excel 2002. I have installed both office xp service packs and ran office xp repair. I'm trying to determine if this is user error or other?
Summary: Take it from start. U open ur master doc in word and have a copy of it. Ur file in excel, must be at 1st line "name of fields" i mean 1 row=1 field name (column a = name; column B = adress, and so on....
